Podcast Transcription Software Compared: Accuracy, Price and Speed

By Kris Reid ·

The best podcast transcription tool for most real estate agents is the one inside the editor or recording app they already use, such as Descript or Riverside. If you need a standalone tool, Sonix and Rev’s AI plans suit weekly shows, OpenAI’s API is cheapest for anyone technical, and Rev’s human service is the pick when accuracy must be near perfect.

Most “best transcription software” lists are written by a transcription company that ranks itself first. This comparison uses each vendor’s own pricing page, checked October 14, 2026, and shows the limits that matter for a podcast: minutes per month, file length, speaker labels and how easy the transcript is to correct. Prices change often, so confirm before you buy.

Which podcast transcription tool should an agent use?

An agent should pick a podcast transcription tool by where the audio already lives. If you edit in Descript or record in Riverside, you already have a transcript; a second tool only makes sense for volume, human accuracy or price.

Tool Type Price as listed, October 2026 Limits that matter for podcasts Speaker labels
Descript Editor with built-in transcription Free (60 media min/mo); Hobbyist $24 monthly or $16/mo annually (10 hrs/mo) 25 languages Detects 8+ speakers
Riverside Recorder and editor Free; Pro $29 monthly or $24/mo annually Unlimited transcriptions on Pro Not stated on pricing page
Sonix Standalone AI transcription $10/hr pay as you go; Core $25/mo (5 hrs/mo) 54+ languages; 30-minute free trial Yes
Rev (AI) Standalone AI transcription, now pitched at legal work Free (45 min/mo, English only); Essentials $29.99/seat monthly or $25.49 annually Essentials adds Spanish, 5,000 min/user/mo Not stated on pricing page
Rev (human) Human transcription $1.99/min 99%+ accuracy guaranteed, 12 hours or less Not stated on pricing page
Castmagic Transcripts plus written content Hobby $29 monthly or $19/mo annually 30 transcribed hours as a library total Yes
Otter.ai Meeting note taker Free; Pro $16.99/user monthly or $8.33 annually Pro: 10 file imports a month, 90 min per conversation Yes
OpenAI API Developer service gpt-transcribe estimated at $0.0045/min 25 MB per file With a separate diarization model

Two rows deserve a warning. Otter’s pricing page limits the free plan to 3 lifetime file imports and 30 minutes per conversation, so it can’t handle a weekly 45-minute episode; Pro raises that to 10 imports a month and 90 minutes. Otter is built for meetings, and it shows. On OpenAI’s API, files can be up to 25 MB, so a long MP3 usually needs compressing or splitting, and you need someone comfortable with code.

What do Apple Podcasts and Spotify transcribe for free?

Apple Podcasts and Spotify both create transcripts for listeners at no cost, but those transcripts live inside their apps. You still need your own file for your website, show notes and AI content tools.

Apple’s transcript guidance says Apple automatically generates a transcript shortly after a new episode is published, in English, Spanish and nine other languages. You can supply your own instead through the RSS transcript tag, and a VTT file lets you name each speaker. Apple labels its own versions “Automatically generated” and yours “Provided by” your show name. Episodes over 10 hours may not be transcribed.

Spotify for Creators offers auto-generated transcripts, but notes they “aren’t available to all creators.” You can’t edit them in place: you download the file, fix it and re-upload it with timestamps.

If you upload your own transcript, Apple holds it to a standard. Its content guidelines (section 5.1) say transcripts you provide “must accurately reflect and correspond to” the episode. A raw, uncorrected AI file with a misspelled guest name technically fails that test.

How accurate is AI podcast transcription?

AI podcast transcription is accurate enough for a clean two-person interview, but no vendor publishes an accuracy figure for your recording, your accent or your town’s street names. Treat every accuracy number on a pricing page as a marketing claim, not a measurement of your show.

What the vendors actually say, as of October 2026:

  • Rev guarantees 99%+ accuracy for its human transcription, delivered in 12 hours or less (Rev pricing).
  • Riverside describes its clip captions as “99% accurate.”
  • Descript calls its transcription “industry-leading” without a number.

We didn’t run a head-to-head test for this article. Accuracy depends so much on microphones, crosstalk and local vocabulary that a test on our audio wouldn’t predict yours. Run your own instead.

How much does podcast transcription cost per episode?

Podcast transcription costs anywhere from under a cent a minute to about two dollars a minute, depending on whether a person checks it. For a typical agent’s show, AI transcription plus your own edit costs less than a lunch meeting each month.

Which words do transcription tools get wrong on a real estate show?

Transcription tools stumble on the proper nouns and jargon a real estate show is full of: street and subdivision names, lender and title company names, loan program acronyms, and numbers. Those are also the words a reader trusts most.

Common trouble spots:

  • Street names, subdivisions and local landmarks
  • Your brokerage and team name, and your guest’s company
  • Acronyms like HOA, FHA, VA, DSCR, 1031 and MLS
  • Prices, rates and percentages (“four seventy-five” could be $475,000 or 4.75%)
  • Two people talking at once

Most tools offer some way to reduce this. Otter Pro lists team vocabulary. OpenAI’s whisper-1 accepts a short prompt (224 tokens) where you can list names. Apple recommends putting host and guest names in your show and episode descriptions so its transcripts spell them correctly. Recording each speaker on a separate track helps too: Descript says its multitrack transcription gives more precise speaker labels, and Riverside records separate audio and video tracks for each participant.

What should you do with the transcript afterward?

A corrected transcript feeds everything else: show notes, clips, a website article and AI tools that write in your voice. Raw, it does little for search on its own.

Our guide on whether podcast transcripts help SEO explains when to publish a full transcript and when a summary page works better. The same file is the starting point for AI podcast show notes and for turning an episode into a blog post, and clip tools use it to find quotable moments, as covered in our look at AI clip makers for podcasts. If you’d rather not manage files, minutes and corrections at all, Icons’ agent podcast production covers editing, publishing and an SEO-optimized article for every episode, so you only show up for the recording.

Frequently asked questions

What is the best free podcast transcription tool?

For listeners, Apple Podcasts' automatic transcripts are free. For a file you can edit and publish, Descript's free plan covers 60 media minutes a month and Rev's free plan 45 AI minutes in English. Spotify for Creators also offers auto-generated transcripts to eligible shows. Pick by how many minutes you publish each month.

Is human transcription still worth paying for?

Only when a transcript must be close to perfect, such as a published interview with legal, lending or contract detail. Rev listed human transcription at $1.99 a minute with 99%+ accuracy guaranteed in October 2026. For most agent episodes, AI plus a 15-minute edit is enough.

Can I transcribe a podcast from a Spotify or Apple link?

Some third-party tools import from links, but the safe route for your own show is the original audio file from your editor or host. You control the file, get the best audio quality and avoid relying on platform transcripts you can't fully edit.
